Overview
'Truck Appointment' is the process of managing appointments for trucks to pick up or drop off containers from/to the terminal. It will be usually performed by Transporter, however, roles having the privilege to avail this e-Service will be defined in the DR TRADE as per the location specific requirement. The process will be offered as an e-Service on the DR TRADE, and will be selected by specific registered user of the system, subject to the applicable access privileges, if any.
Truck Appointment
Sign in to DR Trade Application by providing the Username and Password in the login page, and clicking on the SIGN IN button.
Go to MANAGE -->Gate -> Truck Visit Appointment
The Truck Visit Appointment Search page is displayed. Click the "+" icon to create a new truck appointment.
Select Location and SP Name from the drop down list in the Container Details section. After selecting the Location and SP Name, Add Quantity and Add Container buttons are displayed.
Note:
Fields marked with "*" are mandatory.
User can select containers either by Container Number by clicking on Add Container button or Quantity by clicking on Add Quantity button.
Click the Add Quantity button in the Container Details section.
A Quantity pop up window will be displayed. Select the Request Type from the drop down list (Delivery order/Container Release /Nominate Transporter No), enter the request number in the Request No field, and click the Ok button to close the pop up window.
The selected record, will be displayed in the MOVE TYPE - OUT section, as shown below.
Click on the Add Container button in the Container Details section.
A Search pop up window will appear. Enter the known search criteria in the respective field and click the Search button.
The list of search results are displayed. Select the Containers by clicking on the checkbox and click the Ok button.
Note:
If Container Release is created without container numbers, then those records will not display in Add Container pop-up.
If the selected record Move Type is OUT, then it will display in MOVE TYPE - OUT section and if the selected record Move Type is IN, then it will display in MOVE TYPE - IN section.
Note:
Click on NMthe Delete icon to delete the added Move Type IN/ Out records.
The "i" icon will be displayed if
Container status is Export full in MOVE TYPE IN, or
Container status is FCL Foreign in MOVE TYPE OUT
Click on the Information icon in the MOVE TYPE-OUT section, to provide additional information for the selected Delivery Order.
Enter the details in the respective field and click the Ok button.
Click on the Information icon in the MOVE TYPE-IN section, to provide additional information. Enter the details in the respective field and click the Ok button.
Enter the appointment information in the Appointment Details section.
Agent Reference No –The number should be unique across the Truck Appointment module.
Appointment Date – Click the Calendar icon to select the appointment date. The specified number of days will be highlighted. User can select only the highlighted dates.
Appointment Slot – The entire available time slot will be displayed in a drop down list.
Time slots will display General (GEN) and Priority (PRI). In case General is completed, then it will display Special (ISO, Port code and Premium)
For same duration, if GEN and PRI are available, then same duration will display 2 times one with GEN and one with PRI.
Available Quantity - This field will display only when Quantity is less than 10 for selected time slot. This will be applicable for General Slots only.
Truck Number – System will allow managing appointments for trucks that are registered with DR TRADE, and the registration is approved and valid.
Enter the known search criteria in the Search popup window and select the appropriate License Plate Number from the search result.
Truck Type - Based on the Truck number selected, Truck type will be retrieved.
Trailer No – Enter the known search criteria in the Search popup window and select the appropriate Trailer number from the search result.
Driver Name – Enter the known search criteria in the Search popup window and select the appropriate Name from the search result.
Driver Mobile Number - Based on the Driver Name selected, Driver Mobile Number will be retrieved.
Attachments
Click the Attachments section to add an attachment to the Truck Appointment.
Only five files can be attached to create a Truck Appointment.
File size should not exceed more than 2MB.
Click the Reset button to clear all the entered data.
An alert message will be displayed as below Click Yes to continue.
Click the Submit button to save the data.
A pop up window for the confirmation is displayed. Click the Ok button to confirm.
The success screen is displayed for the Truck Appointment submission.
Note:
Click the Print button to take a printout of appointment details. Print button will be enabled only when TA is in Active/ Partial Gated In/Out status
Click the Back button to go back to the Truck appointment Search screen.
View Truck Appointment
The Truck Appointment Search page is displayed. Select the Location and SP Name from the drop down list and also enter the known search criteria in the respective fields and click the Search button.
The list of search result is displayed. Click the Appointment Number to view the details.
Note:
Click the Pdf icon to download and view the search result in the pdf format.
Click the Excel Sheet icon to download and view the search result in excel spreadsheet.
The details of the selected Appointment Number are displayed. Click the Print button to print the details of the Truck appointment. The Print button will be displayed only if Truck Appointment status is Active or Partial Gated In/Out.
Click the History button to view the amendment history.
The amendment history is displayed. Click the Request ID to view.
The amended details of the Truck Appointment are displayed.
Amending the Truck Appointment
On the Truck Appointment Search page, select the Location and SP Name from the drop down list and also enter any other known search criteria in the respective fields and click the Search button.
Note:
The Truck appointment can be amended, only if status of the TA is Active or Partially Gated In/Out.
The Edit button will be displayed only if Appointment Date and Slot is 6 hours ahead of current date and time.
The list of search result is displayed. Click the Appointment Number to view the details.
Click the Pdf icon to download and view the search result in the pdf format.
Click the Excel Sheet icon to download and view the search result in an excel spreadsheet.
The details of the selected Appointment Number are displayed. Click the Edit button to modify the details.
Modify the editable fields and click the Submit button to save the changes.
A pop up window for the confirmation is displayed. Click the Ok button to confirm.
The success message screen is displayed for the amendment.
The Print button will be displayed only if Truck Appointment status is in Active or Partial Gated In/Out.
Cancelling the Truck Appointment
The Truck appointment can be cancelled, only if its status is Active.
The Truck Appointment Search page is displayed. Select the Location and SP Name from the drop down list and also enter the known search criteria in the respective fields and click the Search button.
The list of search result is displayed. Click the Appointment Number to view the details.
Note:
Click the Pdf icon to download and view the search result in the pdf format.
Click the Excel Sheet icon to download and view the search result in excel spreadsheet.
The details of the selected Appointment Number are displayed. Click the Cancel button to cancel the truck appointment.
The Print button will be displayed only if Truck Appointment status is in Active or
Partial Gated In/Out.
The confirmation message pop up window is displayed.
Click the Ok button to confirm.
