New Release

Overview

Line Release e-service is used to generate requests for movement of containers from terminal to town, between terminals, CFS, Yard or ICD. The request can be raised in LCS or B2B system by the Box Operator, who can be either Company sub-user or Company Admin. If the user raising the request is not the Box operator, this LCS will generate the request and redirect it to the respective Box Operator for approval.

Target Audience: This guide caters to end users, like Box Operators, or Freight forwarders, who would be using this service to create, update, delete, or view line release for containers.

Login to DR Trade

  • Go to eservices.drtrade.do

  • If you're a new user, sign up to the application. Follow the Client Registration user guide for signing up to DR Trade.

  • If you already have an account, sign in in to the application by providing the EmailId/Username and Password in the login page, and click the SIGN IN button.

Line Release landing page

  • Navigate to Manage → Line Release (under Shipment section)

Create a new Line Release

  1. On the Line Release page, click the icon as shown in the image below.

2. This will take you to the form page for creating a new line release. Fill in all the mandatory fields in the form. The form is explained below.

Create a new Line Release

The sections of the form are detailed below:

Release Type

 

  • SP Name:  Select the Service Provider's name. The value is populated based on the location.

  • Release Type:  Chose a release type from the dropdown. Depending on the value of the release type, the fields in the consecutive sections would vary.

An Import full release means that the imported container has goods and is thus linked with one or many BoL and Manifest.

Whereas, an Import empty release type indicates that the imported containers are empty, and will be linked with a discharge list only.


Booking Details

Based on the Release type selected, the fields in the booking type will appear. 

The below screen shows the fields in booking details section when the Release Type is chosen is Import Full

  • Line Code : The line code of the logged-in user. You can start writing the name of a vessel and a drop down box will appear to give you suggestions.

  • Reference No: An unique reference number to identify this Line Release, to be specified by the user. 

  • Validity Date:  This is a mandatory field. Select the validity date of the booking.

  • Instructions : This field is optional, and meant for any special instruction that the user wishes to provide.

  • Holds to be released : This field is optional. One or many holds can be selected from this list. 

  • Bulk Release:  This mandatory field appears for the Release types - Storage empty, and Import Empty. it signifies if the empty containers are to be released in bulk. It's values can be Yes or No. This value determines if the containers are discharged based on Discharge List or ISO codes.


Nominations

 

This section in the form is optional to complete. You will have the following fields:

  • Client Type: It is a mandatory field, where you can select a client type for nomination. It has the following values:

    • Freight forwarder

    • Distribution Center Operator

    • Customs Agent

    • Chassis yard

    • Trucking Company

    • Return Empty Container To

  • Code: The code of the selected client type. Click on the 

    button to get the client code based on Company code, Company Name or Client Type code. The below pop up will appear. You can either search based on Company code, Company Name, or Client Type code, or simply click on the Search button to see a list of available options. 

  • Name: Name of the client. The

    button to the right enables you to add more than one nomination, if required.


Container Details

The fields and operations in this section will depend on the value of the Release type field. 

 

Release Type : Import Full by BoL

For Import Full release type, containers can be added only by linking them with BoLs. 

For selecting the containers, you can add BoL or search BoL, using the corresponding buttons in the Container Details section.



Add BoL

A pop up will appear when you click on this button. Enter the known BoL number and click on OK. If there is no container for the BoL, or the it is already used, error messages will pop up on screen.

Please note: You can only add one BoL number per release search.

Search BoL

Click on the Search BoL button. If you know the search criteria, enter them and click on Search. You can also click on the Search button without providing any search criteria. It will display a list of all available bill of ladings. Select the required BoLs by checking against the respective check boxes.

Please Note: Multiple BoLs can be selected by using the check box, and added to one release number. In that case, individual line release will be created per container.

The selected Bill of Lading Number will be displayed as below in the Container Details section. 

Please Note

The logo 

under Additional Details indicates that the container has no hold on it.

If a container has one or more holds, the logo 

will appear under the Additional Details section.

 


Release Type : Import Full by Container

Import full containers can be added by the container numbers as well. If this option is selected in the Release Type field, the Container Details section will have the buttons as Add Container, and Search Container.

To Add Containers by entering container numbers, click on the Add Container button.

To search for containers and add from the search result, click on the Search Container button. Search for cotnainers using search options in the popo up box(refer to image below), and select a container from the saerch results.



Release Type : Import Empty

For empty containers, there can be two ways to add them, depending on whether they are being released in Bulk or not, i.e., the value of the Bulk Release field in Booking Details section.

If Bulk Release is selected as Yes, then the container Details section will look like the screen below. 

Select the ISO Code from the drop down list and enter the quantity in the Quantity The available quantity of the selected ISO Code is displayed in the Container Quantity Available field.



If Bulk release selected as is No in the Booking details section, then Container Details section will have the two buttons as below, to select containers. The functions of the buttons are explained below.



Add Container

Click the Add Container button, and enter the container number(s) in the Container No field and click the OK button.



Container numbers can be comma separated, or copied and pasted directly from an excel sheet.

The added container will be displayed as below in the Container Details section,



Search Container

Click the Search Container button, and enter the known search criteria in the respective field and click the Search button. Select the Container Number(s) from the list and click the Ok button.



The selected container(s) will be displayed as below in the Container Details section.



Please Note

Click the “+ “icon to add multiple Container(s)

Click the Delete icon to delete the Container(s)




Attachments

In the Attachments section, click the Add button to add the attachments.

After entering all the mandatory fields, click the Submit button to save the data and a pop up window is displayed for the confirmation. Click the OK button to confirm.

The success screen is displayed with the Container Release Details in which the Container Release Number is unique and generated by system. Click the Back button to go back to the Container Release Search screen.

Please Note 

  • If Shipping Line/Shipping Agent user logs in, then Logged in users Line code will display from Client Registration

  •  If any other user logs in apart from SL/SA, then nominated users Line code will display.

View a Line Release

On the Line Release Search page, enter the known search criteria in the respective fields, and click the Search button. In the Search Result, click on a Container Release Number to view the details.

  • Click the

    icon to download and view the search result in the pdf format.

  • Click the

    icon to download and view the search result in csv format.

The details of the selected Container Release Number will be displayed. Click the Print button to print the details of the Container Release. The Print button will be displayed only if Container Release status is in Active/ Partial Gated Out.

Edit a Line Release

  1. To edit a line release, follow the steps to View the line release . On the Line Release details page, click on Edit button to modify it.

2. Modify the fields, which are editable. In this example, enter the value in Validity Date, Holds to be released, and Instructions fields.

It is important to note here that the fields available for modification might vary based on your role.

3. The confirmation pop up window is displayed. Click the OK button to continue.

4. The success screen with Release Type and Booking Details are displayed as below,

View Change History

You can click the History button to see the amendment history.

On the amendment history page, click on the Request ID to view the changes.

The amendment history details of the Container Release are displayed.

Cancel a Line Release

1. To Cancel a line release , follow the steps to it. 

2. On the line release page, click on the Cancel button to delete it.

3. The Cancel Container Release pop up window is displayed. Enter the reason for the cancellation of Container Release request in the Remarks field and click the Submit button.

4. The Cancel Alert pop up window is displayed. Click the Ok button to continue.

5. The Status of the cancelled Container Release is changed to Cancelled.

Approve/Reject a line release created by Nominees

Nominee(s) created Container Releases will be sent for approval to the relevant Shipping Line or Shipping Agent users.

  1. The Container Release Search page is displayed. Enter the known search criteria in the respective fields and click the Search In the Search Result, click the Container Release Number for which the Status is Submitted.

  • Fields marked with”*” are mandatory fields

  • Click the Reset button to clear all the entered filter criteria.

2. The details of the selected Container Release Number are displayed. Click the History button to view the amendment history.

3. The amendment history is displayed. Click the Request ID to view the details.

4. The details of the selected Container Release Number are displayed. Click the Workflow button to view the approval workflow.

5. The Approval Workflow history is displayed. Click the Close button to continue.

6. Click the Action button to approve the Container Release request.

7. Select the action from the drop-down list. In this example, select Approve and click the OK.

8. If the Reject option is selected, enter the appropriate reason for the rejection in the Please Enter The Comments

9. An Action pop up window is displayed. Click the Ok button to confirm.

10. The Current Status of the Container Release request is changed from Submitted to Active.

11. Click the Workflow button to view the workflow history after the approval.

Click the Back button on the browser to go back to the Container Release search screen.
